What we do with your details.

The short version: we use what you put in the booking form to arrange your free consultation and talk to you about tutoring, we don't sell or share it for anything else, and you can ask us to delete it whenever you like. The longer version is below.

Who we are

Volare Tutors provides one-to-one tutoring for GCSE, A Level, university applications, medicine and dentistry. When you send us an enquiry, we decide how your information is used — in data protection terms we are the “controller” of it.

You can reach us about anything on this page at hello@volaretutors.co.uk.

What we collect, and when

We only collect what you type into the consultation booking form on this site, and only when you send it. That is: your name, your email address and phone number; your child's first name, year group and subject; and, if you choose to give them, their exam board, their strengths and weaknesses, and anything else you'd like us to know. If you book a time we also record the time you chose and which tutor it's with.

We don't use analytics, we don't set cookies of our own, and we don't track you around the internet.

Why we use it, and on what basis

We use your details to arrange and hold your free consultation — matching you with a tutor, emailing you a confirmation and, the day before, a reminder with the video call link — or to call you back if you asked for a call instead, and then to arrange tutoring if you decide to go ahead. We don't add you to a mailing list and we don't send marketing.

Our lawful basis is that the processing is necessary to take steps at your request before entering into a contract (UK GDPR Article 6(1)(b)). Where an enquiry doesn't lead to tutoring, we rely on our legitimate interests in keeping a short record of who contacted us and what we said (Article 6(1)(f)).

Information about your child

The form asks for your child's first name, year group and subject, and lets you tell us about their strengths and weaknesses, so the tutor can come to the consultation prepared. We don't ask for their surname, school or results at this stage. Please don't include health or medical details in the form — if something like that matters for their learning, tell us on the call and we'll talk about how to record it. If tutoring goes ahead we'll collect more (their full name, their target grades, their work), and we'll explain that separately at the point we ask for it.

If you are under 18 and contacting us yourself, please ask a parent or guardian to get in touch instead.

Who else sees it

Your booking is stored in our database, hosted for us by Supabase. Confirmation and reminder emails are sent for us by Resend. Before a booking is sent, Cloudflare Turnstile checks that it comes from a person rather than a bot; it sees your IP address and some technical details about your browser, but not what you typed. Each of these providers handles your information only on our instructions and doesn't use it for anything of its own. If our booking system is ever unavailable, the form falls back to sending your details to us by email through Web3Forms, which works the same way. Copies of booking emails sit in our email inbox, hosted by our email provider.

The tutor you're matched with sees your booking — including your contact details and what you've told us about your child — so they can prepare for and hold the call. We don't sell your details, and we don't share them with anyone else except where the law requires it.

How long we keep it

Enquiries that don't lead to tutoring are deleted after 12 months. Records relating to tutoring we've actually provided are kept for 6 years after the last lesson, because that's how long we may need them for tax and in case of any dispute.

You can ask us to delete your enquiry or booking sooner and we will, unless we're required to keep it.

Your rights

You can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, ask us to restrict what we do with it, or object to us using it. You can also ask for it in a portable format. These rights are free to use and we'll respond within one month.

Email hello@volaretutors.co.uk and say what you'd like. We may ask you to confirm who you are first, so we don't hand your information to someone else.

If you think we've got it wrong, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd rather you told us first so we can put it right.

Third-party content on this site

Our fonts are served from our own site, so visiting these pages doesn't tell Google or anyone else that you were here.

The exceptions are the software this site is built with, which is loaded from a public code library (unpkg.com), and — only once you reach the step where you choose a consultation time — Cloudflare's Turnstile check described above. Your browser contacts them to fetch these, and they receive your IP address as part of that request.

Changes to this notice

We'll update this page if what we do with your information changes. It was last updated in October 2026.

Questions

Ask us anything about this.

If any of the above isn't clear, or you want your details removed, email us and a person will reply.
